Board of Director Positions and Job descriptions

Following are a list of key positions outlined by the Navy League of Canada-Lanark Branch that make up the branch official (board) positions. Positions are held for one year. Each year, at the Annual General Meeting (AGM), members vote on the election of, or re-election of branch officials. If you would like to consider running for one of the positions, you must be a paying member for a period of one year. We encourage all parents/guardians to join us for our monthly meetings whether a member or not.

Branch President

The Branch President, as the senior Navy League official in the Branch, is responsible for all the activities of the Branch. They must therefore ensure that all Branch Officers and committee chairmen keep them fully informed on a regular basis. The President has the responsibility for keeping Ontario Division informed of activities with the Branch’s purview. The President should also be training their replacement.

Vice-President

The Branch Vice-President assists the President and acts as President in his/her absence. This is an optional position to the local branch.

Secretary

The Branch Secretary is responsible for maintaining Branch records and for the recording and reporting minutes of all Branch council and general Branch meetings. The Secretary is normally responsible for the conducting of Branch correspondence, and for advising the President and council members on matters pertaining to Navy League procedures.

Treasurer

The Branch Treasurer is responsible for maintaining accurate records of all Branch financial transactions. As well, preparing bingo reports, obtaining bingo licenses and reporting to Ontario Division are some of the other responsibilities. The Treasurer also prepares the annual financial report for the President’s approval prior to remitting to Ontario Division.

Sea Cadet Chair

The Sea Cadet Chair is the principal link between the Branch Council and the Sea Cadet Corps. They should represent the concerns and requests of the corps CO for their action as necessary. The Sea Cadet Chair is responsible for ensuring that Branch responsibilities with respect to the sponsorship of a Sea Cadet Corps are fulfilled in consultation with the Corps Commanding Officer.

Navy League Chair

The Navy League Cadet Chair is the principal link between the Branch Council and the Navy League Cadet Corps. They should represent the concerns and requests of the Corps CO to the Council, and should relay Council decisions to the Corps CO for their action as necessary. The Navy League Cadet Chair is responsible for ensuring that Branch responsibilities for the supervision and administration of the Navy League Cadet Corps are fulfilled in consultation with the Corps Commanding Officer.

Building Operations

Maintains building, coordinates and/or makes repairs, etc. This is an optional position to the local branch.

Fundraising Chair

Takes ideas, forms committees as required, initiates contact with parents (i.e. Tag Day). This is an optional position to the local branch.

Public Relations

Ensures visibility of cadets, liaison with local papers and media as needed. This is an optional position to the local branch.

Boat Chairperson

Oversees that sailboats are operated in a safe manner, are maintained and in good condition. Coordinates repairs/maintenance, winterization, and oversees safety issues. This is an optional position to the local branch.

Directors

A “Director” or “Director at Large” as often referred to, is a position where you provide valuable input and work with the committee in general. You may also team up with one of the Fundraising, Building or Public Relations positions in providing help/assistance where needed.

Health & Safety Committee

The role of the Branch Health and Safety Committee (BH&SC) is to improve the health, safety and security conditions within the Local Head Quarters (LHQ), and any other locations used by the Corps that falls under the responsibility of the Sponsoring Branch. Members meet on a regular basis and in addition, assist in the monthly inspection of the building to identify any areas of concern.

The Responsibilities of the Branch Health and Safety Committee (BH&SC) are:

1. to identify potential hazards of a health, safety and security nature

2. to evaluate potential hazards

3. to recommend corrective action

4. to follow up implemented recommendations

To carry out these responsibilities, the following actions must be taken:

1. convene regular committee meetings - (monthly)

2. inspect the building and property – or part of building once per month (Legislation requires that a worker completes this inspection not management)

3. use the safety process to resolve situations as per: Environmental Concerns, Health, Safety and Security Concerns
